Position Summary:

The HR Staffing Coordinator is a key member of the HR team and will provide interview coordination and other staffing support.  This will include full cycle coordination of candidate interviews, travel coordination as necessary, onsite point person for candidates and managers ensuring positive candidate experience.  Responsible for ensuring accuracy of recruiting report and Jobvite postings.  Assist with employment initiatives.


Essential Functions:
  • Setup and coordinate interview schedules and travel arrangements, as necessary
    • Work closely with staffing team and hiring managers to ensure candidate interviews are scheduled
    • Act as point person for candidate and hiring managers during the onsite interviews and ensure interviews are on schedule
    • Adjust any scheduling changes and communicate as necessary
    • Ensure positive candidate experience
  • Manage and update Applicant Tracking System
    • Ensure accuracy in opened positions to recruiting report
    • Ensure positions are accurately reflected on career site via Jobvite and other social media platforms
    • Ensure integrity of access in Jobvite, employees have access, delete terminated employees from Jobvite, etc.
  • Provide administrative support
    • Support the Vice President HR with expense processing, travel arrangements and scheduling HR department meetings
    • Process travel expenses for candidates
    • Ensure requisition files are complete and in compliance
    • Process existing and new recruiting contracts
  • Update staffing report ensuring integrity of data
    • Obtain updates from recruiters on a weekly basis and ensure staffing report is accurate
    • Send out updated reports weekly or as needed
    • Ensure accuracy of staffing report with openings reflected on Jobvite and work with recruiters to open and close out requisitions
  • Work closely with the Talent Acquisition team to identify opportunities to streamline staffing processes
  • Act as a liaison between internal recruiting team and external agencies for scheduling
  • Conduct and monitor background checks and reference verifications
  • Support the employee referral program by tracking employee referred candidates and informing HR Generalist of hired referred candidates
  • Support additional projects and provide ad-hoc reporting as assigned
    • Assist with staffing projects



Required Experience:
  • Minimum 2-3 years of administrative support experience preferably in Human Resources/Talent Acquisition
  • Excellent organizational and interpersonal communication skills, both verbal and written
  • Strong analytical abilities
  • Able to work independently and willing to learn
  • Strong attention to detail is required
  • High energy, polish and professional demeanor and comfortable working collaboratively with all levels of organization
  • Ability to hold information at the highest level of confidentiality


Preferred Education:
  • BA/BS degree or equivalent



Additional Knowledge and Skills:
  • Proficient with Microsoft Suite, MS Word, Excel, PowerPoint, Outlook
  • Experience with applicant tracking and HRIS systems (Jobvite and ADP Workforce Now)
  • Familiar with social media recruiting and branding
